Smart School provides a comprehensive Expense Management module to track all school expenditures, including staff salaries, utilities, and daily operations.
Accessing Finances
From the Private School Dashboard, click Financials to view your budget charts, expenses, and payroll tables.
1. Recording School Expenses
Every manual transaction can be logged with title, amount, date, description, and category.
- Click Add Expense inside the Financials Dashboard.
- Enter a descriptive **Title** (e.g., "Library Book Rack purchase").
- Enter the **Amount** and **Date**.

Select one of the system **Categories**:
- Staff Salary: Automatically logs when staff payroll is run.
- Maintenance & Repairs: Building paint, plumbing repairs, etc.
- Infrastructure & Assets: Classroom benches, computers, hardware.
- Bills (Electricity, Water, Internet): Office recurring bills.
- Fuel & Vehicle Costs: School bus diesel/petrol and repairs.
- Miscellaneous: Refreshments, printing, other minor costs.
- Upload an optional receipt file (PDF/Image) and click Confirm Expenditure.
2. Salary Payroll Integration
You do not need to manually log salary expenses. When you use the Salary Manager to process staff payroll, the system automatically creates corresponding **Staff Salary** expense records under the active month, linking them to the recipient staff user.
3. Financial Analytics & Budget Analysis
The main Financial Dashboard displays real-time budget widgets:
- Total Income: Sum of all collected fee payments.
- Total Expenditure: Sum of all expenses and paid payroll.
- Net Balance: Net cash (Income - Expenses).
- Monthly Budget Breakdown: Interactive charts sorting your expenditures by category.
