How to Manage Mid-Day Meal (MDM) Stock & Daily Entry
The Challenge: MDM record-keeping is a heavy administrative burden. Teachers must calculate exact rice consumption in grams across Pre-Primary, Primary, and Middle categories, track stock balance, and prepare consolidated monthly reports for government audits.
Manual Method vs. Smart School
| Task | Manual Way (Old) | Smart School Way (New) |
|---|---|---|
| Rice Calculation | Manual math (Grams to Kgs) | Automated Math |
| Stock Tracking | Messy logbooks | Digital Stock Ledger |
Step-by-Step Guide
-
Daily Meal Entry.
Go to Daily Operations > MDM Daily Entry. Enter the count of students who ate today for each category (Pre, Primary, Middle).
Automation: The system automatically calculates Rice Consumed based on government-approved grams-per-child rates. -
Record Stock Lifting.
When you receive a new supply of rice, use the Save Stock Lifting section. Select the date, department, and enter the quantity in Kilograms (Kgs).
-
Monthly Opening Balance.
At the start of every month, ensure you update the Opening Stock Balance for each department to maintain accurate ledger tracking.
-
Generate Consolidated Reports.
Click on Consolidated Report to view monthly totals. You can export this as an Excel file for submitting to the department.
Troubleshooting
If you face issues, check these common solutions:
- Rice consumption looks wrong: Check your MDM Constants in settings. If the grams-per-child value is incorrect, the calculation will be off.
- Negative stock balance: Ensure you have entered the Opening Balance for the current month.
