How to Import Student Data via Excel (UDISE Compatible)

Time: 5 Minutes Difficulty: Intermediate

The Challenge: Setting up a new school software typically involves typing hundreds of student records manually. This process can take weeks for a school with 500+ students, prone to typos in birth dates and phone numbers. Teachers need a way to transfer existing digital records instantly.

Manual Method vs. Smart School

Task Manual Way (Old) Smart School Way (New)
Speed (500 Students) 3-4 Days of typing 5 Minutes upload
Accuracy High risk of typos 100% Match with source
UDISE Support Manually copy data Direct File Support

Step-by-Step Guide

Smart School supports two methods for checkingstudent data. Choose the one that fits your school type.

Method A: For Indian Schools (UDISE Export)

If your school is in India and you use UDISE+, you don't need to fill any template.

  1. Login to your UDISE+ Portal.
  2. Navigate to Student Module > List of all Students.
  3. Prepare your Excel file.

Your spreadsheet MUST contain the following four columns (exact headers):

    • Name
    • Father Name
    • Class
    • Roll No

Tip: You can also include a Section column. If left blank, students will be assigned to the "General Section".
  4. Upload and Validate.

In the Import Students screen, select your file. The system uses a JavaScript-based validator to check if it can find the Admission No column.

Warning: If the Admission No column is missing, the system will show a confirmation modal. If you proceed, the software will automatically generate unique Admission Numbers for you.

Method B: For International / Other Schools

  1. Go to Student Management > Bulk Import.
  2. Click Download Template to get the blank Excel file.
  3. Fill the required columns: `First Name`, `Class`, `Section`, `Gender`. leave `Admission No` blank to auto-generate.
  4. Save the file and upload it back to the system.
Important: Do not change the header names (Row 1) in the template file, otherwise the import will fail.

Troubleshooting

If you face issues, check these common solutions:

  • "Invalid Header" Error: You probably changed a column name. Download the template again and copy-paste your data.
  • "Duplicate Admission No": The file contains an ID that already exists in the software. Remove that row or change the ID.
  • Dates are wrong: Ensure Excel date format is set to `DD-MM-YYYY`.

Frequently Asked Questions

Leave the column blank. The system will automatically assign the next available number (e.g., A-1001, A-1002).

No, bulk import is permanent. If you make a mistake, you will have to delete the students manually from the Student List. We recommend testing with a file of 5 students first.
