How to Import Student Data via Excel (UDISE Compatible)
The Challenge: Setting up a new school software typically involves typing hundreds of student records manually. This process can take weeks for a school with 500+ students, prone to typos in birth dates and phone numbers. Teachers need a way to transfer existing digital records instantly.

Step-by-Step Guide
Smart School supports two methods for checkingstudent data. Choose the one that fits your school type.
Method A: For Indian Schools (UDISE Export)
If your school is in India and you use UDISE+, you don't need to fill any template.
- Login to your UDISE+ Portal.
- Navigate to Student Module > List of all Students.

Prepare your Excel file.
Your spreadsheet MUST contain the following four columns (exact headers):

Tip: You can also include aSectioncolumn. If left blank, students will be assigned to the "General Section". -
Upload and Validate.
In the Import Students screen, select your file. The system uses a JavaScript-based validator to check if it can find the Admission No column.
Warning: If theAdmission Nocolumn is missing, the system will show a confirmation modal. If you proceed, the software will automatically generate unique Admission Numbers for you.
Method B: For International / Other Schools
- Go to Student Management > Bulk Import.
- Click Download Template to get the blank Excel file.
- Fill the required columns: `First Name`, `Class`, `Section`, `Gender`. leave `Admission No` blank to auto-generate.
- Save the file and upload it back to the system.
Troubleshooting
If you face issues, check these common solutions:
- "Invalid Header" Error: You probably changed a column name. Download the template again and copy-paste your data.
- "Duplicate Admission No": The file contains an ID that already exists in the software. Remove that row or change the ID.
- Dates are wrong: Ensure Excel date format is set to `DD-MM-YYYY`.
