How to Configure School Fee Structure

Time: 5 Minutes Difficulty: Intermediate

The Challenge: Setting up a correct fee structure is the foundation of school financial management. Without it, the system cannot generate bills, calculate dues, or provide accurate revenue reports. Admins need a simple way to define what each class should pay every month.

Manual Method vs. Smart School

Task Manual Way (Old) Smart School Way (New)
Billing Manual receipt books Automated Bill Generation
Rate Updates New register for new prices 1-Click Price Adjustment

Step-by-Step Guide

  1. Navigate to Fees Setup.

Go to Fees & Admin and select Manage Fee Structure.

  2. Set Class Rates.

You will see cards for every class (1st, 2nd, etc.). Enter the amounts for:

    • Monthly Tuition: The base monthly charge.
    • Computer Fee: Optional monthly charges for lab access.
    • Annual Charge: A one-time or yearly recurring fee.

  3. Save and Apply.

Click in the floating action bar. The system will now use these rates when generating future bills for students in these classes.

Tip: The system automatically formats class names using ordinal suffixes (e.g., 1 into 1st) for better readability on parent receipts.

Troubleshooting

If you face issues, check these common solutions:

  • New Class not showing: You must first create the class in the Class Master.
  • Rates not updating on old bills: Fee structure changes only apply to *newly generated* bills. Existing unpaid bills must be edited manually if you change mid-month.
